Workday Transition - HR1 (Non-Grant Only) Recruiting & Hiring Changes
As part of Norfolk State University’s transition to Workday, Recruiting and Hiring processes are being enhanced to provide greater transparency, stronger controls, and a more consistent experience for hiring managers, HR partners, and candidates. These updates are designed to reduce rework, clarify responsibilities, and support timely, compliant hiring decisions across the University.
Key Updates:
- Structured Hiring Process: Position creation and job requisitions are now separate steps, each requiring approvals to improve position control and budget oversight.
- Expanded Approvals: Job requisitions will follow a broader approval chain, including HR Partner, Manager’s Manager, Dean/Director, Vice President, President (as applicable), and Budget Partners. Allowing clear visibility into who reviews and approves each hire. This also reduces the need for follow-up and off-system approvals for faster decision-making. Approval paths vary based on position type and level, ensuring flexibility while maintaining governance.
- Offer Process Changes: A standardized approval workflow (Manager → Manager’s Manager → Dean/Director) will be used, with additional approvals (e.g., VP of HR, Provost, President) required based on the position. Allowing for fewer revisions and resubmissions. Clear expectations for approval requirements and more consistent candidate experience across departments.
- Revised Offer Letters: Updated templates will align offer date and hire date language, include revised standard terms, and introduce new classifications for Non-Tenure Track (NTF) and Tenure Track Faculty (TTF). Allowing for more consistent communications to candidates, reducing confusion during faculty hiring, and stronger alignment with academic appointment structure.
- Recruiting Enhancements: Improvements include clearer candidate acknowledgement of language, the ability for Hiring Managers to schedule interviews, and updated job posting language for wage and part-time roles to align with benefits of eligibility. Allowing for improved candidate communication and experience, clearer expectations for applicants, and flexibility for hiring managers.
These updates will provide greater transparency, consistency, and efficiency across the hiring process.
