Workday HCM Transition & Temporary HR/Payroll Freeze Dates

As Norfolk State University prepares to go live on Workday Human Capital Management (HCM) on July 1, 2026, certain HR and payroll-related transactions will be subject to temporary processing restrictions. These transaction freeze periods are necessary to support final data conversion and system readiness activities and will vary by transaction type.

The table below outlines what actions are impacted, expected timing, and steps required to ensure business continuity during this transition. We appreciate your partnership and advance planning as we complete this important milestone for the University.

Department Administrators - Workday HCM Transition Timeline

May 4th - June 28th

Job Postings, Candidate Applications, and Career Site Access

No new postings may be submitted during the "freeze" period. Beginning June 29, 2026, all recruiting activities, including requesting new PCNs, job postings (job requisitions), and candidate applications will be managed directly in Workday.

All known recruiting needs should be submitted as soon as possible so approvals and postings can be completed no later than close of business on May 3, 2026.

While job posting creation will be paused, there is no pause on hiring activity during this period. Departments and hiring managers should continue to follow the current recruitment and selection process for screening applicants and hiring candidates and submit all required hiring paperwork as early as possible.

May 4th - June 28th

New Hires and Rehires

Employees paid on a biweekly payroll should have all required hiring paperwork submitted by May 1, 2026, to ensure timely processing prior to the Workday transition.

While there is no pause on hiring or rehiring during this period, departments are asked to submit all documentation as early as possible.

Request Compensation Changes – Salary changes, retention offers, temporary pay

Salary changes will not be processed during this period. Retention offers and temporary pay requests will be reviewed case-by-case, subject to Human Resources approval. Any mandated statewide increases will not be impacted.

Beginning June 29, 2026, all compensation-related transactions, including salary changes, retention offers, and temporary pay, will be submitted and processed directly in Workday.

Emergency contacts, preferred name, legal name, address and contact information, personal data updates

As part of the transition to Workday HCM, employees should avoid making Employee Self-Service updates in Cardinal between June 21 and June 28, 2026

Any personal information changes submitted during this period will not transfer into Workday and will need to be re-entered after go-live. Beginning June 29, 2026, employees are encouraged to log into Workday to:

  • Review and update emergency contacts
  • Confirm or update their preferred name
  • Make any necessary personal information updates
  • Ensure correct individuals are reporting them (when applicable)
  • Ensure manager reporting manager is correct

Taking a few moments to verify your information in Workday after go‑live will help ensure University records are accurate and up to date.
