Workday Core HCM is the foundation of the system, serving as the central source of employee information for the university. It houses key data such as personal details, job profiles, positions, supervisory organizations, and compensation structures. Every faculty, staff member, and student employee is assigned to a Supervisory Organization, which connects them to a manager and drives key HR processes. With Core HCM, you can view and update your personal information, emergency contacts, and work history. Managers can see their team’s information and track headcount. Core HCM also supports workflows for hiring, transfers, promotions, and job changes, ensuring approvals are routed correctly. For the university, this means better data accuracy, fewer manual processes, and a “single source of truth” for HR and academic staffing data. Because Core HCM integrates with all other Workday modules, it lays the groundwork for payroll, benefits, recruiting, time tracking, and academic processes. Ultimately, Core HCM helps ensure the right people are in the right roles at the right time to support student and institutional success.
Recruiting
Workday Recruiting streamlines the hiring process for faculty, staff, and student positions. It allows hiring managers and HR teams to create job requisitions, post jobs to career sites, review applications, and move candidates through interview and selection stages—all within one system. Candidates benefit from a modern, mobile-friendly application process that is easy to use and transparent. Managers can collaborate with search committees or hiring teams in real time, reducing delays in decision-making.
Recruiting integrates seamlessly with Core HCM and Academic Appointments, meaning once a candidate is hired, their data flows directly into their employee or student worker record. This eliminates duplicate data entry and speeds up onboarding. In higher education, where multiple departments often run searches simultaneously, Recruiting provides a standardized, consistent, and compliant approach to talent acquisition. It also supports inclusive hiring practices by ensuring equitable processes and providing visibility into candidate pools. With Recruiting, the university can more effectively attract and retain top talent.
Time Tracking
Workday Time Tracking allows employees and student workers to log hours worked, track overtime, and request time off in a simple, mobile-friendly way. It integrates directly with Payroll, ensuring that approved hours flow automatically into pay calculations. Managers can review and approve time entries, see who is working, and manage staffing coverage more effectively. The system supports multiple time entry methods, including clock-in/clock-out, weekly timesheets, and mobile entry, making it flexible for both administrative staff and student employees.
Only the Police and Facilities departments will be moving to Workday's Time Tracking during HCM implementation. For these employees, Time Tracking will provide transparency into schedules, hours worked, and available balances. It also enforces compliance with university and legal rules such as overtime regulations. Notifications and reminders help ensure that time is entered and approved on schedule, reducing payroll delays. NSU's remaining workforce will move to Workday Time Tracking once NSU Finance is implemented at the end of Phase 2 (July of 2027).
Absence & Leave Mgt.
This module helps employees and managers track and manage time away from work, including vacation, sick time, holidays, and leaves of absence. Employees can request time off directly in Workday, view their balances, and see team calendars to plan around colleagues’ schedules. Managers can review and approve requests in real time, ensuring appropriate coverage for their teams. The system enforces the university’s policies automatically, so accruals and eligibility rules are applied consistently.
For HR, this reduces manual tracking, errors, and compliance risks. Faculty and staff benefit from increased transparency, as they can see exactly how much leave they have available without needing to contact HR. This module also integrates with Payroll, so approved absences are accounted for in pay calculations. In the university context, Absence Management supports diverse leave types such as sabbaticals, parental leave, and student work-study schedules. Overall, it simplifies leave processes and promotes fairness and clarity.
Talent & Performance
The Talent and Performance module helps the university support employee growth, development, and performance management. It enables managers and employees to set goals, track progress, and have structured performance reviews. Employees can create development plans, track achievements, and identify areas for growth. Managers can provide continuous feedback, evaluate performance, and support career progression. Workday also offers succession planning tools to identify and develop future leaders within the institution.
For faculty and staff, this module supports career conversations, development opportunities, and recognition. HR leaders benefit from access to data on performance trends, helping them identify skill gaps and align development programs with institutional priorities. In higher education, Talent and Performance ensures faculty, staff, and administrators are supported in achieving both personal growth and the university’s mission.
Compensation
Workday Compensation manages how employees are rewarded for their work through salary, merit increases, bonuses, and other pay programs. It supports the design and administration of compensation plans that are transparent, equitable, and aligned with university budgets. Employees can view their current compensation and see how changes affect their total rewards package through Employee Self Service. Managers use Compensation functionality to recommend raises, bonuses, or promotions for their team members during the annual review cycle.
The system ensures consistency by applying institution-specific rules and guidelines for pay decisions. Integration with Payroll means that approved changes flow directly into employee paychecks, reducing errors and administrative work. Universities benefit from the ability to support faculty salary structures, academic pay cycles, and union agreements in a single system. Clear visibility into compensation helps build trust and supports workforce retention and equity.
Learning
Workday Learning is a modern, interactive learning management system (LMS) that supports professional development, compliance training, and student/staff learning needs. Employees and faculty can access courses, videos, and training resources directly within Workday, on desktop or mobile. The platform enables personalized learning paths, where users can explore recommended training based on their roles, skills, or career goals. Managers can assign required courses, track completion, and encourage professional growth across their teams. Workday Learning also supports social and peer-to-peer learning, allowing staff and faculty to share knowledge and resources.
For the university, it centralizes all training programs—such as compliance training, faculty development, and Workday system training—into a single accessible platform. Employees benefit from self-paced learning, clear training requirements, and opportunities for career growth. By aligning learning with career and institutional goals, this module helps build a culture of continuous improvement and readiness for change.
Academic Staffing
Academic Staffing is a specialized extension of Workday HCM designed for higher education institutions. It manages the unique faculty and academic appointment structures that go beyond traditional staff roles. Academic Staffing supports tenure and non-tenure tracks, teaching assignments, overloads, and split appointments across multiple schools or departments. Every faculty member has an Academic Appointment, which defines their role (e.g., Professor, Adjunct Faculty, Department Chair) and links them to the correct Academic Unit.
This ensures that hiring, teaching assignments, and workload planning align with the university’s academic structure. Managers can use Academic Staffing to assign faculty to courses, track responsibilities, and monitor effort distribution. The system enforces institutional rules, such as tenure eligibility or contract terms, ensuring consistency and compliance. For faculty, Academic Staffing provides clarity on appointments, workloads, and reporting lines. Within Workday Student, it connects academic roles directly to course scheduling, advising, and curriculum management.
