Workday Transition – Key HR & Onboarding Updates
As part of Norfolk State University’s transition to Workday, several updates are being made to HR and onboarding processes. These changes are intended to improve coordination across departments, reduce delays and errors, and support a consistent experience for employees, managers, and HR partners.
Create Position Enhancements
The Create Position process will now include additional approvals which better reflect our current HR-1 process flow and earlier review by HR. Reviewing positions earlier helps ensure job details and classifications are accurate before moving further in the process. These updates also strengthen compliance, improve separation of duties, and reduce the need for corrections later in hiring, compensation, clearer employee classification requirements, and IT/security setup.
Onboarding Process Updates
Background checks and I-9 verification will be completely integrated within Workday. New hires will be putting their information directly into Workday and sent over to the new background check application.
Hire Process Enhancements
The Personal Information step has been removed from the Hire process to eliminate duplicate data entry as this is being carried over from your application in Workday.
Termination Process Updates
When a termination process is initiated in Workday, automated notifications will now be sent to HR Business Partners and various departments. Academic Chairs will also have the ability to initiate the process in Workday when appropriate. These changes support faster removal of system access and leave tracking, reduce the risk of overpayment or unauthorized access, and improve accountability across all departments. The clearance form/offboarding process will move to Softdocs with Workday Go Live. Training, guides, and other resources to complete this process will be provided in the coming weeks.
